
How to Build an Unshakeable Team as You Grow Your Community
You're a woman building incredible things. You may have a thriving membership, host transformative retreats and impactful events, and speak on podcasts that connect deeply with your ideal audience. You're already creating powerful communities, personally and professionally, through your purpose.

On The Wealth We Hold podcast, I recently sat down with Sarah Smith, founder of Iconoclast Innovations. Sarah is a genius at untangling this internal chaos, and her wisdom resonated deeply with me.
She shared a crucial truth:
"When you're talking about that messy middle... you want it to be frictionless. You want it to be sustainable."

Here is my truth. I did not avoid the bumps in the road on my journey through entrepreneurship. I went through each one like a Jeep driving through a backroad safari. Thankfully, I had some support. My right hand, my assistant Jade, provided an endless amount of structure during my most chaotic seasons. We learned together, and built an unshakeable internal community that actually became stronger through challenges.
Eventually, this made my entire business feel lighter and more joyful. On this foundation, we built a small team of women ready to support our clients in bigger ways. Let's make this tangible and actionable for your business, no matter how small your team.
1. Build Your Safety Net
Ever had that sinking feeling you’re unprepared? Maybe it’s before a client call or a presentation. It happens to all of us and although it can feel shameful to admit, it’s actually a roadmap to growth.
For me, it came up recently when a crucial team member was unavailable and I had to jump in. A recent storm left my assistant without power, instantly showing me where our systems were too reliant on one person. I shared this with Sarah, who laughed and added a vital point: "Somebody wins the lottery, and you're not gonna be able to do what needs to be done." If someone (including you!) in a vital role was removed, would you have documented systems for someone else to follow? You can't control the unexpected, but you can control your preparation.
The secret here is psychological safety. This simply means creating a relaxed space where everyone on your team (even contractors!) feels comfortable speaking up, sharing processes and ideas, and admitting when something isn't working without fear of judgment. This trust is the cozy blanket that makes sharing "how-to's" feel natural, not taxing.
Put it into action:
"What If" Assessment: Think of your top 3 most crucial weekly tasks. Who knows how to do these and are their processes documented? This is your starting point.
Create Simple Manuals: For those key tasks, jot down bullet points or record a quick video outlining the steps. Store it in a shared Google Drive or Notion workspace.
Connect: Schedule regular, short chats with the people who support you. Human connection builds safety. Establish simple understanding: "When we find a problem, how do we want to work through it?" Just having this conversation builds trust.
2. Rethink "Productivity"
Building genuine connection as women is crucial to our fulfillment. It helps us work more effectively, because we’re reminded of our purpose. We also have the opportunity to acknowledge that every brain thinks a little differently (hello, neurodivergence!).
Sarah shared simple, fun ways to boost connection and I spoke about how my own neurodivergence helps me see patterns in relationships. Leveraging my unique brain has been the key to my success. Imagine if everyone felt empowered to share how their brain works best!
Put it into action:
‘I work best’ Exercise: Think about your unique strengths and preferred ways of working. Draft a paragraph about yourself in leadership, explaining how you best receive feedback, your most productive hours, etc.
Listen to Internal Cues: That feeling of depletion or procrastination? Sarah and I agreed it often signals an internal system breakdown. Empower yourself to voice these cues: "This task feels exhausting. I can find a smoother, more enjoyable way." Maybe it’s simply changing your environment! Try working on difficult tasks in the park, at your local library, or with a friend at a great coffee shop!
3. Leverage AI while Protecting your Humanity
In 2026, AI is a powerful tool, not a threat. I see it like money: incredibly useful, but its impact depends on how it’s wielded. The key is to "keep a human in the loop," always. AI can simplify, but it should never replace your unique voice, your personal story, or the human connection that fuels your community.
Sarah uses AI for objectivity, not emotion. If she needs to send a difficult email or manage a tricky client situation, she might ask AI: "How can I phrase this to be clear and responsive, not just emotional?" This helps her lead with logic while still being herself. AI can also be your "super-assistant" for managing information.
Put it into action (starting today):
AI for Clarity, Not Creation: Use AI to breakdown complex client feedback, summarize research, or even refine your language in a difficult email. It can help you respond thoughtfully, not reactively.
Automate Your Knowledge Base: Remember, AI is a machine. If you've documented your processes, ask an AI chatbot (preferably a custom GPT) to find "the steps for setting up your next event registration" or “the roadblocks in your sales funnel” but use your own internal wisdom to refine the suggestions generated.
Amplify Your Voice: Use AI to help repurpose your already human-created content (your podcast, event feedback, team meeting lessons, personal stories) into social snippets or blog drafts. Always, always, refine content by infusing your unique experiences back into the AI's output. Remember your authenticity, don’t outsource your voice.
Most importantly, lean into telling your story; AI can't replicate that.
